Privacy Policy

Ace UK Removals Ltd is the data controller for the personal information described here. We handle it in line with the UK GDPR and the Data Protection Act 2018. This policy describes what this website and our office actually do — not what is typical.

Every clause is numbered, so you can quote one — 4.2, for instance — if you want to ask about it. Each number is also a link.

1. Information we collect

    What you type into the quote form: your name, email address, phone number, the collection and delivery postcodes, your move date and preferred time, property size, floors and lift access at both ends, crew and packing preferences, any special items, and anything you add in the notes box.

    What your browser sends when you submit that form: your IP address and browser user-agent string. We record these with the enquiry to help us spot automated submissions and abuse.
  3. 1.3
    Where you arrived from, when the information is present: the page you landed on, the referring website, and any advertising click identifier attached to the link you followed.
  4. 1.4
    What you tell us afterwards by phone, email or WhatsApp about the job — access details, inventory, timings, and anything relevant to carrying out the move.
  5. 1.5
    Analytics and session information, but only if you accept analytics cookies. Decline, and none of it is collected. Our cookie policy sets out exactly what runs and when.
  6. 1.6
    We do not take card payments through this website, so no card number ever reaches it. Payment is arranged directly with the office by bank transfer, card or cash, and we do not store full card details.

2. How we use your information

    To work out a price for your move and send it to you.

    To contact you about the enquiry or booking — to confirm details, check access, or reach you on the day.

    To carry out the work, including passing the details a crew needs to complete it.

    To keep the accounting and business records we are required to keep.

    To deal with claims, complaints and disputes if any arise.

    To protect the site from automated abuse and spam submissions.

    To understand how the site is used and improve it — only where you have accepted analytics cookies.

3. Legal basis for processing

    Contract. Quoting for and carrying out your move needs the details you give us; without them we cannot do the work.
  2. 3.2
    Legitimate interests. Keeping records of enquiries, protecting the site from abuse, and recording the IP and browser details attached to a submission. We have considered your interests, and this processing is limited to what is needed for those purposes.
  3. 3.3
    Consent. Analytics and any non-essential cookies. Consent is asked for before anything runs, and you can withdraw it at any time.
  4. 3.4
    Legal obligation. Tax, accounting and other records the law requires us to keep.

4. Data retention

    Booking and quotation records are kept for six years after the work, which matches HMRC record-keeping requirements and the period in which a claim could still be brought.
  2. 4.2
    Enquiries that do not become bookings are deleted after twelve months.
  3. 4.3
    Analytics data is kept for the retention period set in the analytics tool, and is not linked to your booking record.

    If you ask us to delete your information sooner, we will — except where we are legally required to keep it, in which case we will tell you what we are keeping and why.

5. Sharing your information

    We do not sell your personal information, and we do not share it for anyone else's marketing.
  2. 5.2
    Our website and database are hosted by Hostinger, so your enquiry is stored on their infrastructure.
  3. 5.3
    Enquiry alerts and quotations are sent through our email provider's mail servers.
  4. 5.4
    When you ask for a quote, the two postcodes — and nothing else about you — are sent to Google's routing service to calculate the driving distance between them.
  5. 5.5
    Where a bot challenge is active on the form, the challenge provider receives the information it needs to judge whether the submission is automated, including your IP address.
  6. 5.6
    If analytics cookies are accepted, the analytics providers named in our cookie policy receive usage data. Some of these providers are outside the UK, and transfers rely on the safeguards in their terms.
  7. 5.7
    Where part of a job is sub-contracted, the crew carrying it out receives only the details needed to do the work.
  8. 5.8
    We may disclose information where the law requires it, or to establish or defend a legal claim.

6. Your data rights (UK residents)

You have the right to:

    ask what we hold about you and get a copy of it;

    have inaccurate information corrected;
  3. 6.3
    ask us to delete it, where we are not required to keep it;
  4. 6.4
    ask us to restrict how we use it, or object to our use of it;

    receive it in a portable format, or have it sent to another provider;

    withdraw consent at any time, where consent is what we relied on;

    To exercise any of these, email info@aceukremovals.co.uk. We will respond within one month. If you are not satisfied with our answer you can complain to the Information Commissioner's Office at ico.org.uk, and you do not need to raise it with us first.

7. Data security

    The whole site is served over HTTPS, so what you send is encrypted in transit.
  2. 7.2
    Access to enquiry records is limited to the people who need it to do the work, and is password-protected.
  3. 7.3
    Data is held on hosting infrastructure within the UK or EEA.
  4. 7.4
    No system is perfectly secure. If a breach ever affects your rights and freedoms, we will tell you and the ICO within the time the law allows.

8. Links to other websites

  1. 8.1
    This site links to other websites — WhatsApp, Google Maps, and others. Following one takes you outside our control.
  2. 8.2
    We are not responsible for how those sites handle your information, and we would encourage you to read their own privacy policies before giving them anything.

9. Updates to this policy

    We review this policy when what we do with information changes, or when the rules around it change.
  2. 9.2
    The current version is always the one on this page, and the date at the top tells you when it last changed.
